There are different methods available for uploading new files to the 4ALLPORTAL, depending on the module or use case:
globally via quick upload (via the header)
specifically to an upload folder (via the folder structure in the Files module)
via drag & drop (into the Files & Collections modules)
You can upload individual files, multiple files, folders, or archives (e.g., ZIP) to the system.
Please note
The following requirements apply to all uploads to the system:
You must have access to an upload folder.
You need the appropriate rights to perform uploads.
Quick upload is only available to you if it has not been hidden for your role by the administrator.
Configuration note for administrators
Please note that for any type of upload or download, the module access of the "File transfers" module must be set to "Standard" or "Yes" for a role.

Upload folder
To upload files to a specific folder, this folder must be set up as an upload folder.
Upload folders are marked with an upload arrow in the folder structure: ![]()
The option to select an upload folder depends on your role permissions:
Fixed upload folder
For some roles, the administrator can assign a fixed upload folder for drag & drop and quick uploads. Files will then be uploaded to this folder automatically.
Individual upload folder
If you have the appropriate rights, you will see all the upload folders available to you in the folder structure by their upload arrow
. These are suggested to you as possible destination folders in a selection pop-up when you upload.Default Collection upload folder
If you have the appropriate rights, you can set up a fixed upload folder for collections in your user profile under "System settings > Collections > Default Collection upload folder". Uploads for the Collections module will then always be made to this folder.

Upload process
Once you have started the upload of your selected files to the system, you can continue working.
Several processes will run in the background, regardless of your upload method:
Import manager
During the upload, the Import manager is activated, allowing you to check the upload status in detail or cancel the upload.
Preview calculation
Preview images of various sizes are generated for each file to display the file in the system.
Folder-based tagging (optional)
When folder-based tagging is active, the files are automatically tagged with predefined metadata.
Optional actions
In two cases, the system interrupts the upload because your action is required:
Import tagging
If import tagging is enabled for the upload folder, a pop-up window opens during the upload. You are asked to tag the files directly with metadata.
Collision handling
If there are already files with the same name in the upload folder, a pop-up window for collision handling will open. You must decide how you want to proceed with these files: replace, keep both, or do not import.
The upload will not continue until you have completed these actions.
If you minimize one of these pop-ups, you can always reopen it in the Import manager by clicking on the upload package.
Please note
Depending on the amount of data, preview creation or metadata processing in the background may take a few minutes. You can refresh the view by clicking on the "Search" button.

Check upload status
You can check the status of your upload at any time:
Status display
You can see the progress of the upload directly in the status display at the bottom right.
Import manager
Click on the status display (e.g., "Waiting for import") to open the Import manager. Here you can check the upload in detail or cancel it.
File transfer
Ongoing or completed uploads are displayed in your File transfer sidebar.

Can I upload entire folders?
Yes, but only the contents of the folder will be imported, not the folder structure itself.Can I upload all file formats?
In principle, you can upload files of all formats to the system. However, special formats may not be processed, meaning that no preview will be visible, for example.Why can't I see a preview?
Depending on the amount of data, it may take a few minutes to calculate the preview. Refresh the page to check whether your preview is ready. If the preview is still not available, contact your administrator.What happens if there are files with the same name in the destination folder?
