Different methods for uploading files

There are several ways to upload files to the system:


Quick-Upload

With quick upload, you can upload files directly to an upload folder.

Quick upload is accessible from anywhere in the system via the header.

  • Click on the upload icon cloud with arrow up in the top right corner of the header.

  • A pop-up window will open, allowing you to select the desired files from your computer.

  • If a fixed upload folder is stored for your role, the upload will start automatically.

  • If no fixed upload folder is stored, a second pop-up window will open:

    • Select one of the upload folders displayed. You can only select one folder.

    • Once you confirm your selection, the upload will start.

  • As soon as the upload is complete, the system will display a confirmation message in the lower left corner.

Upload to a folder

You can upload files directly to a specific folder, provided that the folder has been defined as an upload folder.

  • Open the Files module.

  • Select an upload folder folder with up arrow in the folder structure on the left.

  • Click on the three-dot icon three-dot-icon to the right of the folder name and select the "Upload" action.

  • A pop-up will open and you can select the desired files from your computer.

  • Once you confirm your selection, the upload will start.

  • As soon as the upload is complete, the system will display a confirmation message in the lower left corner.

Upload using drag & drop

Drag one or more files directly from your computer into the Files or Collections modules to upload them to the system.

Drag & drop is supported for web browsers and the Desktop App.

  • Select files from your desktop or via your file manager (e.g., Windows Explorer or macOS Finder).

  • Drag the files to the desired module with the mouse button pressed.

    • Files: Main view

    • Collections: Main view (to one of the collections) or detail view.

  • As soon as you release the mouse button, the upload will start:

    • If a fixed upload folder has been specified for the module, the upload will be performed directly there.

    • If no upload folder has been specified, a pop-up will open for you to select an available upload folder.

Requirements for drag & drop in collections

  • The collection must allow files to be uploaded. This option is enabled by default.

  • If you have the appropriate rights, you can set up a fixed upload folder for collections in your user profile under "System settings > Collections > Upload folder for collections". Then, uploads for the Collections module will always be made to this folder.

  • Can I upload files to any folder?
    No, only folders defined as upload folders allow file uploads. These can be different folders depending on your role.

  • Do I have to select an upload folder every time?
    Only if you have not been assigned a fixed upload folder.

  • Are uploads completed even for large files?
    Yes, larger files are processed in the background. You can check the progress at any time via the status display of the import manager.

  • Is import tagging also activated for drag & drop?
    Yes, if import tagging is active for the target folder, you will be prompted to do so automatically.

  • Why can't I upload files?
    If you are unable to upload files, e.g., via drag & drop or quick upload, your user role may not have the appropriate rights. In this case, please contact your administrator.
