Folder-based tagging

Create automatic tagging for a folder

With folder-based tagging, files are automatically tagged with predefined metadata as soon as they are uploaded, copied or moved to a specific folder.

This type of tagging is particularly suitable for recurring processes, workflows or project-related work where standardization of file tagging is important – it also saves you time. 😉

You can set up folder-based tagging for any type of folder in its folder properties.
It is also possible to inherit tagging to subfolders or existing files.

Please note

  • Rights: To set up folder-based tagging, you must have access to the folder properties. This may need to be approved by an administrator.

  • Process: After a one-time setup in the folder properties, the tagging of files takes place completely in the background.


When does folder-based tagging take effect?

An active folder-based tagging takes effect in the following cases:

  • as soon as a file is copied or moved to this folder

  • as soon as a file is uploaded to this folder (upload folders only)

  • as soon as a file is uploaded, copied or moved to a subfolder of this folder (only if "Inherit values to subfolders" is active)

  • immediately (only if "Tag existing files" is active)

Please note

Since folder-based tagging is an automatic system process, the "System process" is listed as the user in the change history of a file.


Setting up folder-based tagging

To set up folder-based tagging for a folder, you need to access the folder properties:

  • Open the Files module.

  • Select the desired target folder in the folder structure.

  • Click on the three-dot menu three-dot menu to the right of the folder name and click on the folder button with the gear icon folder with gear "Properties".

  • The new "Properties" view opens. Click on the "Folder-based tagging" tab in the header.

  • You can see two areas for controlling your tagging:

  • Once you have made your settings and clicked "Save", your folder-based tagging is active.

Folder to be tagged

Here you see the folder you opened to set up tagging, as well as the option to include existing files:

  • Tag existing files:

    With this option, you can also tag all files already uploaded to this folder. This happens as soon as you save.

  • Tagging for:

    Use the "Tagging for" drop-down menu to specify whether keyword tagging should also be applied to all subfolders.

Please note

Existing values will be changed or deleted depending on the selected "Type of change".

Setting metadata

In the center, you can see all groups and metadata fields that are also available in the detail view of a file.

Enter all metadata here that should be set automatically for files in this folder. You can fill in as many metadata fields and groups as you like.

You have the following additional options for each metadata field:

Type of change

  • Once you have entered a value in a metadata field, the "Type of change" drop-down menu to the right of it becomes active.

  • Here you can specify how the system should handle your new values.

Delete all values

  • If necessary, select the "Delete all values for this field" checkbox to delete all values already stored in this metadata field.

Inherit values to subfolders

  • If necessary, select the "Inherit values to subfolders" checkbox to inherit your metadata settings of that field to all subfolders.

  • Files that are uploaded, copied or moved to subfolders will then also be tagged.

  • Please note: Existing values may be changed or deleted.

Inherited values

  • If your folder has a parent folder from which it inherits values, you can view the inherited values here.

  • Hover your mouse over "Inherited values" or click on the note to see a window with the relevant information.

Hierarchy of inheritance

If both import tagging and folder-based tagging are active for a folder, the following hierarchy applies:

  1. First, import tagging writes the metadata.

  2. Then, folder-based tagging takes effect, which, depending on the "Type of change" setting, supplements, overwrites, or ignores the existing values.

Folder-based tagging can be corrected by manual tagging, e.g. a mass change.

Configuration note for administrators

The direction in which metadata is inherited (from the main folder to the subfolders or vice versa) can be set in the administration area:

General system configurations > DAM > Folder-based tagging

By default, the inheritance is downward, i.e. from the top folder level down.


💡 Frequently asked questions (FAQ)

  • Where can I see if folder-based tagging is active?
    You can only see this in a folder's properties, tab "Folder-based tagging". If automatic tagging is active, you will see filled-in metadata fields here.

  • Are existing files automatically tagged?
    No. This only happens if you have activated the corresponding option "Tag existing files".

  • Why is my value not being applied?
    If your values are not being applied in folder-based tagging, check whether your files are located in a subfolder. Then check whether the "Inherit values to subfolders" checkbox is active.
