Import tagging ensures that users specify metadata directly when uploading to a specific folder. Files can only be uploaded to a folder if the user fills out a template.
You can set up import tagging for upload folders. It is based on a metadata template that must be stored in advance by your administrator.
Please note
Rights: To set up import tagging, you must have access to the folder properties. This may need to be approved by an administrator.
Setting up import tagging
To set up import tagging for a folder, you need to access the folder properties:
Open the Files module.
Select the desired target folder in the folder structure.
Click on the three-dot menu
to the right of the folder name and click on the folder button with the gear icon
"Properties".The new "Properties" view opens. Click on the "Import Tagging" tab in the header.
You can see two areas for controlling your import tagging:
Left: Tagging template
Click on the "Tagging template" drop-down menu on the left and select a template from the list.Center: Preview
Depending on your selection, a preview of the fields contained will appear in the middle. This metadata will be displayed during upload and must be filled in by the user.
If you select a different template, the preview will be updated.
Once you have made your settings and clicked "Save", your import tagging is active for this folder. All users who upload to this folder must now fill out the template.

Please note:
Only one template can be selected per upload folder.
The templates must be configured in advance by the administrator.
Filling in import tagging
If a tagging template has been stored for an upload folder, a pop-up window will open automatically when files are uploaded to that folder, prompting the uploading user to enter the relevant metadata.

Number
In the header, you can see how many files your import tagging would be applied to.Sidebar
If there are multiple files, all files that you have selected for upload to this folder will be displayed on the left.Selection
If there are multiple files, use the checkboxes to select whether you want to tag all files or only individual files. You will need to tag any unselected files in the next step.
Use the metadata fields as usual for your tagging.
If necessary, look for closed metadata groups and open them.
Required fields are marked with an asterisk *. You must fill them in to continue. Unfilled required fields will receive a red error message.
Click on "Save selected" when you have entered all the necessary information. The upload will start.
Once the upload is complete, the system will display a confirmation message in the lower left corner. The file is now stored in the corresponding folder with the metadata you entered.
Hierarchy of inheritance
If both import tagging and folder-based tagging are active for a folder, the following hierarchy applies:
First, import tagging writes the metadata.
Then, folder-based tagging takes effect, which, depending on the "Type of change" setting, supplements, overwrites, or ignores the existing values.
Folder-based tagging can be corrected by manual tagging, e.g. a mass change.
π‘ Frequently asked questions (FAQ)
What is the difference between import tagging and folder-based tagging?
Import tagging is performed manually by the user during upload. Folder-based tagging sets metadata automatically in the background.Where can I see if import tagging is active?
You can only see this in a folder's properties, tab "Folder-based tagging". If no template is selected in the "Import tagging" tab on the left, the function is not active for this folder. Can templates be changed retrospectively?
Yes. If you have the necessary rights, you can change the template at any time. The new template will then apply to all future uploads.
