The Files module is your central workspace for all the files you can access in your system. In the main view, you can search for, open, and download files, as well as select them for further actions.
Open the Files module in the mega menu by selecting
"Files".

Areas of the main view
The main view consists of three areas:
Search & filters
Here you can search for specific files. To do so, use the search fields, the folder structure, and, if applicable, saved filters.
For example, you can select a specific folder to view only its contents.
By default, all filters you apply work together. This means that the results list will only show files that match your filters and are also located in the selected folders.
You can save recurring search queries as saved filters.
Results list
The results list always shows a search result: Here you can see all the files that match your active filters, search fields, and folders. If no filters or folders are active, all available files are displayed.
You can sort the files in the header of the results list, switch the view from tile view to list view, and adjust the tile size.

Toolbox
The toolbox actions appear as soon as you select one or more files.
Actions include downloading, deleting or creating a link to a task, collection or approval, for example. You can also create PDF overviews here.
Please note: The available actions may depend on your user permissions.
How to use the main view
Search for files using the search filters or select a folder from the folder structure.
Review the results in tile or list view and sort them using the header if needed.
Open a file by double-clicking it or select one or more files using the checkboxes.
Use the toolbox actions to continue working with your selection.
Special features in the main view
Rename files directly
In tile view, you can edit file names directly if you have the appropriate permissions. However, the file extension cannot be changed.
To do this, hover your mouse over the desired file's name. The edit button
will appear to the right of the name.
Please note that links to other systems, such as InDesign or PowerPoint, may become invalid when a file is renamed and may need to be adjusted manually.
Rating, tagging and metadata
In the tile view, you can rate and tag files directly. Depending on the configuration, you can use stars, favorites, colors, and notes for this purpose.
Please note: Notes are system-wide and visible to other users.
Below the preview image, you will also see a selection of metadata, such as the resolution, size and file type. There may also be customer-specific metadata, such as approval or digital rights status.
Drag & drop and conflict handling
From the main view, you can drag and drop selected files to move or copy them to a folder within the folder structure.
When moving files, metadata is preserved. When copying, new files are created without metadata unless automatic tagging is enabled. There is no undo function.
If a file with the same name already exists in the destination folder, collision handling takes effect.
You can also use drag and drop to copy a file to a collection, approval, or add it to the shopping cart.
Important notes
The files and features that you can access depend on your user role. Certain areas or actions may be hidden based on your role.
In the tile view, depending on your user role, you'll also find a quick download button
that lets you download the file directly to your computer.The actions available in the toolbox depend on whether you have selected none, one, or more files.

Why can’t I see certain files?
You only see files that match your active filters and for which you have the necessary access rights.
Why are some actions missing from the toolbox?
The actions displayed in the toolbox depend on your user role, your permissions, and the number of selected files.
Can I change the file extension when renaming a file?
No, because the file extension is part of the file format. It cannot be changed when renaming a file.
Can I select all search results across multiple pages?
Yes. To do this, tick the checkbox next to the first entry, press and hold SHIFT, then tick the checkbox next to the last entry. Then go to the next results page and repeat until all the results are selected.
