What types of files can be processed in the DAM

In 4ALLPORTAL, you can upload and manage nearly any file format. For most file types, the system automatically generates previews and derivatives in various sizes, for example, for the tile view, the detail view or different download profiles.

  • To avoid an overly long list, the following list includes only the most common file formats.

  • In general, 4ALLPORTAL accepts files of any type and generates a preview and a detail view for almost all file formats!

Conversion tools used

4ALLPORTAL uses various tools to analyze uploaded files, generate previews and convert formats:

  • ImageMagick: Reading, modifying and writing image formats

  • FFmpeg: Playing, creating, editing and converting audio and video formats

  • Aspose: File format APIs for reading, creating, editing and converting document formats, including MS Office and OpenOffice

  • Ghostscript: Interpreting PostScript and PDF files

  • ExifTool: Reading, writing and editing metadata in image, audio and video files

  • LibRaw: Reading RAW files from digital cameras

The conversion tools listed do not need to be installed separately. They operate in the background according to the following process:

  1. Upload

  2. Detect file type

  3. Select conversion tools

  4. Generate preview

  5. Generate derivatives

  6. Display in the DAM

Multiple tools can work together when processing a file. For example, a document can first be converted to a PDF and then displayed as an image preview.

Special case: InDesign

Previews for InDesign files can only be generated if the 4ALLPORTAL InDesign plugin is installed.

ImageMagick

ImageMagick is a tool that primarily processes image formats. Typical functions used in 4ALLPORTAL:

  • Creating preview images

  • Scaling and cropping images

  • Rotating or flipping

  • Color corrections and effects

Notes on Transparency

The 4ALLPORTAL standard format for preview derivatives is JPEG. This format is not suitable for displaying transparency.

If an image contains transparency, the system therefore creates preview derivatives in PNG format instead of the JPEG format normally used for previews.

Notes on Photoshop files

ImageMagick only processes the bottommost Photoshop layer (Layer 0). Additional layer groups, color correction filters or masks are not processed correctly.

Therefore, for PSD or PSB files, all existing layers are merged into Layer 0 (Canvas Layer) before the preview is generated. This allows the system to display the image correctly.

This issue only occurs with previews, not with downloads converted via download profiles.

Aspose

Aspose is a tool that primarily processes document and Office files. The following formats, among others, are supported:

  • Microsoft Office formats

  • OpenDocument formats

  • PDF

  • various CAD and 3D formats

To generate a preview, documents are first converted to PDF. The system then creates the preview from this PDF.

FFmpeg

FFmpeg is a tool that processes video and audio formats. Typical functions used in 4ALLPORTAL:

  • Converting videos

  • Generating video previews

  • Creating streaming formats

Configuration note for admins

  • Conversions are configured in 4ALLPORTAL via the Object Image Service and the associated derivative parameters.

  • Admins can find details in the technical documentation for the Derivative Service.


How to check if a file format is supported

Only administrators can perform this check in the system.

If you want to know whether the 4ALLPORTAL can generate previews or derivatives for a specific file format, you can quickly check this in the system.

Please note: In general, all file types can be uploaded.

Step 1: Check the file format in the system

  • In the admin area, open the snap-in Administration > DAM > File types.

  • Use the search field to search by file extension, media type or MIME type.

  • Check whether the format is listed there.

  • If the format is listed, 4ALLPORTAL supports this format and can generate previews.

Step 2: Check conversion tools

If a format is not stored in the system, you can check directly on the website of the

conversion tools used by the system.

Check the following tools, depending on the file type you are looking for:

Step 3: Create a supported format as a new file type

If you find your format, it can generally be processed by 4ALLPORTAL, but it is not yet set up in the system. You can create it as a new file type yourself:

  • In the admin area, open the snap-in Administration > DAM > File types.

  • Click the "Create" button  plus sign in the toolbox and create the new file type.

  • Then upload a corresponding file to 4ALLPORTAL or regenerate the preview of an existing file of that format.

  • Check whether the processing works.

If the format you are looking for is not supported by one of the conversion tools, a preview cannot be generated in 4ALLPORTAL.

  • Can I upload any file to 4ALLPORTAL?
    Yes. The system generally accepts files of any type.

  • Why don’t I see a preview for some files?
    A file type for this format has likely not yet been configured in the system.

  • Can I add new file formats?
    Yes. Admins can create new file types in the "File types" admin snap-in.

  • Why do video previews look different from the original?
    For the preview, the system creates a compressed 720p version of the video.
