With the Ideas board and Roadmap, we are making our product development process more transparent and consolidating feedback in one place.
On the Ideas board, you can find, rate, and comment on product ideas for 4ALLPORTAL, or submit your own suggestions. The Roadmap shows which features are already planned, in development, or released.
Login, display name and profile
In order to comment on or submit ideas, you must be logged in to the Ideas board.
If you open the Ideas board via the in-app help in 4ALLPORTAL, you will be logged in automatically with the email address associated with your 4ALLPORTAL account.
Alternatively, you can open the Ideas board directly and log in with your email address there. If you use the same email address as in 4ALLPORTAL, your Ideas board profile will be linked to your user account.
Display name
Your name and email address are not publicly displayed on the Ideas board. Instead, your profile is assigned a randomly generated display name, such as "silver_meadow".
This display name remains associated with your profile and appears alongside your ideas and comments:
Profile settings
Click the profile icon in the top-right corner of the Ideas board header to view your account information.
There, you can also specify which events you’d like to receive email notifications for, such as status updates on an idea you’ve subscribed to.
Find existing ideas
Before submitting a new idea, check if a similar one already exists. This helps you avoid duplicate entries and allows you to directly supplement an existing suggestion with your own use case.
Use the search and filters above the list of ideas. You can filter by the following criteria, among others:
Status: the idea’s current processing status
Category: product or work area
Tags: user groups for whom an idea is relevant
Open an idea to view the full details and existing comments.

Vote for and comment on an idea
If an existing idea addresses your concern, you can vote for it and add your own use case.
Vote for an idea
Use the vote counter next to the idea to add your vote. The counter will then be highlighted in color. If you have already voted, you can also remove your vote there.
By voting, you show that the topic is relevant to your day-to-day work.
Add a Comment
In the detail view of an idea, you can add a comment and, for example, describe your specific use case. Be as specific as possible:
Describe the situation in which the issue arises.
Which user group is affected?
Why is the idea relevant to you?
What specific benefits would an improvement bring?
You can also add an image to your comment if needed.
After you submit it, your comment will first be moderated and therefore won’t be publicly visible right away.
Specific use cases help the product management team to better understand the need for and impact of an idea. 💪
Please note
A large number of votes and comments are important indicators when evaluating an idea. However, they do not guarantee that a feature will be implemented or when it will be implemented.
Submit a new idea
If you can’t find a suitable existing one, submit a new idea.
First, search for similar ideas.
Then click 'Submit an idea' in the header.
Select an appropriate category.
Describe the problem and the situation in which it occurs.
Explain what would make a difference.
If necessary, select a priority and relevant tags.
Submit your idea.
You don’t need to propose a technical solution. The most important thing for us is to understand the problem and the context in which you’re using the product. 😊
Example
Instead of saying 'We need an additional button', describe the task you want to complete, what's currently preventing you from doing so, and the result you'd like to achieve.

The Ideas board is not intended to replace support requests. Use it to share product ideas and suggestions for improvement.

What happens after submission?
We moderate new ideas and comments before publishing them
In doing so, we may:
edit the language of submissions
merge submissions with similar ideas
remove confidential information
Rest assured that the original intent of your submission will remain intact. The goal is to ensure that other users can understand the described need clearly and neutrally.
After moderation, an idea may be:
published
merged with a similar idea
reviewed internally for further consideration
Track the status of an idea
Every idea has a status. This shows you where the idea currently stands in the process.
New
The idea has been submitted and published, but has not yet been prioritized.Under consideration
We are evaluating the idea in terms of customer needs, impact, and potential implementation effort.Future consideration
The idea makes sense in principle, but it is not a priority at this time and is not scheduled for implementation.Closed
The idea is not currently being pursued.Planned
The idea is scheduled for implementation. We are working on possible solutions. The scope and timeline are subject to change.In development
The idea is currently being developed and tested.Released
The feature or improvement has been released.
Ideas can remain in a particular status for varying lengths of time. This depends on factors such as their scope, complexity, and dependencies.
For ideas with the Future consideration status, additional feedback can help better assess the need for future planning.
Using the roadmap
On the roadmap, you’ll find ideas that are already further along in the product development process. These include items with the following statuses:
Planned
In development
Released
This gives you an overview of which items are already planned, in development, or released.
Ideas on the roadmap remain available on the ideas board as well. You can continue to vote and add comments there.

An idea on the roadmap does not constitute a binding commitment to a specific release date. Scope, prioritization, and timing are subject to change.
Understanding categories and tags
Categories and tags allow you to filter existing ideas more quickly and organize new ones.
Categories
Each idea has exactly one category. It indicates which product or work area the idea belongs to. Available categories are:

Sharing & Usage Rights
Sharing, downloading, usage rights, watermarks, protection of confidential content
Collaboration & Workflow

Tags
Tags show you which user groups an idea may be particularly relevant to.
An idea can have one or more tags:

Use categories and tags primarily as filters when you're looking for existing ideas.
Tips for providing helpful feedback
To make your feedback as helpful as possible to other users and the product management team, follow these steps:
First, search for an existing idea.
Vote for relevant ideas instead of submitting the same suggestion.
Add your specific use case as a comment.
Describe the problem and the desired outcome rather than offering a technical solution.
Formulate your feedback in an objective and clear manner.
Not every idea will be implemented. Factors such as demand, benefits, strategic relevance, effort and technical dependencies will be taken into account during the evaluation process.
