A traffic light and the associated digital rights show and control which files you are allowed to use and share.
A traffic light for display can also be used without digital rights.

Traffic light
If a traffic light has been set up for your system, you can see at a glance whether you are allowed to freely use an image, video, or document.
The traffic light is based on a metadata field that offers several possible approval statuses to choose from. Like other metadata, the status, too, can be set or viewed in the detail view of a file:
The current approval status can also be displayed directly as a colored dot on the tile of a file in the main view in the Collections or Files module:

In our example system, three values with corresponding color icons are available for the "Approval status" metadata field:

| There are terms of use. |
| The file may not (yet) be used. |
Please note: The values and colors may look different in your system.
Digital Rights
Your system may have a digital rights management set up, which automatically checks the current approval status of a file before each use.
Digital rights prevent the downloading, sharing, or editing of files that are locked or subject to restrictions.
When digital rights are active, a pop-up window appears as soon as you try to download or edit a file. Depending on the current approval status, different conditions may apply, for example:
Free: A simple note β you can download or edit directly.
Restricted: You must confirm the terms of use.
Blocked: An approval workflow starts or the use is blocked.
These two blocked files require approval before downloading.
Please note
Digital rights may be role-dependent, meaning that users with your user role may receive different pop-ups and rights than users with a different role.

Digital rights are a paid add-on component.

Why do I see a pop-up window when downloading?
The pop-up checks whether you are allowed to use the file according to its approval status and displays the terms of use if necessary.
What does the colored dot next to an image mean?
The colored dot on a tile shows you the current approval status. You can also find the status in the detailed view of the file.
Can I change the approval status of a file myself?
That depends on the rights of your user role.
Why are the pop-ups different for some files?
Each pop-up is adapted to the respective approval status of a file.
Why can't I download a file?
If you are unsure, first check the traffic light color. If it is red or yellow, you may need confirmation or approval.
Otherwise, please ask your administrator to check whether the Digital Rights conditions include your user role.
