There are different types of metadata fields in the 4ALLPORTAL. They look different depending on the type of information and offer you different options for use.
Here, we explain the most common types using the "Files" module as an example. However, you will find these types in the other modules, too.
Metadata fields in the Files module
In the detail view of the "Files" module, all associated metadata is displayed to the right of the file preview.
The metadata fields are divided into several groups that you can open and close. Some groups only appear for certain file types (e.g., "Video information").

Editable and non-editable fields
There are technical metadata fields, e.g., in the metadata group "General file information". The values here are automatically read by the system, such as the image width, resolution, or camera model of an image.
This metadata is for viewing only and cannot be edited by the user.
Other metadata fields are editable, e.g., in the "General information" group. They are set up individually, e.g. for keywords, project name, or notes. You can tag or update these fields yourself.
You can tell whether a field can be edited by its appearance:
Editable fields contain an input option.
Non-editable fields are read-only and cannot be changed.

Rights: Whether you are allowed to edit metadata depends on your system settings and your role.
Individual fields: The number and arrangement of fields are usually customized for each system. Additional groups for editing your metadata fields are possible.

Overview of field types
Text fields
You can enter free text in text fields. There are two different sizes:
Single-line text fields: for short terms or keywords
Multi-line text fields: for longer texts or descriptions

These text fields help you with your entries by providing automatic suggestions. The values in these fields are displayed as highlighted "bubbles".
Type the first character into the text field.
A list of possible values will appear.
Select the desired value with a mouse click or arrow key + Enter.
If you save a new value in this field, it will automatically be added to the list of suggestions.

Date fields
You can select a date using a calendar via a date field:
Click on the
calendar icon to open the calendar.A small pop-up window will open: Select a date.
Use the arrow icons in the pop-up header to change the year and month.
Click "OK" to save the selected date in the metadata field.

Number fields
Number fields offer you various options for storing numerical values, e.g., via free input or a slider.

Selection fields
Selection fields contain predefined values from which you can select one or more. There are the following variants:
Drop-down menus
Open a drop-down menu using the arrow on the right-hand side of the field. You can select one value from the predefined list.
Radio buttons
The round radio buttons allow you to select one of the specified values.
Sometimes you first have to open a pop-up window using the
button on the right-hand side of the field in order to make your selection.
Checkboxes
The square checkboxes allow you to select one, several, or none of the specified values.

On/Off switch
With an on/off switch, you can activate a value ("true": highlighted in color) or deactivate it ("false": grayed out).
In some cases, you will see an X next to the switch. This allows you to delete the value (neither "true" nor "false").
Reference fields
Reference fields allow you to link the object of another module, e.g., a user to a task or a usage agreement to an image. A pop-up window will open, allowing you to select the object.

Why can't I edit some fields?
The editing options depend on your permissions or the system configuration. Some fields are filled in automatically and cannot be edited.
What is the difference between single-line and multi-line?
Single-line fields are text fields for short keywords, while multi-line fields are suitable for continuous text with line breaks.
What does autocomplete mean?
Suitable terms are automatically suggested as soon as you start typing.
