The Dashboard module allows you to compile personalized overviews of the most important 4ALLPORTAL information, so you can see it at a glance. For example:
A list of your open tasks
Links to frequently used modules or websites
A diagram with files sorted by release status
A list of all active users
Open the module via the "Dashboard" entry
in the mega menu:
Please note
The dashboard is disabled by default and is not visible in the mega menu. An administrator must first enable the module if needed.
Dashboard Sidebar
On the left side, you will see the Dashboard Sidebar. It provides you with an overview of your current dashboards in three categories:
Favorite dashboards
Once you start working with multiple dashboards, you can mark a dashboard as a favorite to see it directly at the top of the sidebar.
To do this, click on the "Favorites" button
next to a dashboard. It will then be moved to the Favorite dashboards section.
Own Dashboards
Here you can see all the dashboards you have created yourself.
You can add new dashboards using the "Plus" button

Shared dashboards
Here you can see all the dashboards that other users have shared with you.
Depending on the permissions you have been assigned, you can edit, duplicate, delete, or share the dashboard using the three-dot menu

Home dashboard
You can make any dashboard in your sidebar your home dashboard. To do this, click on the "Home" button
. It appears when you hover your mouse over the name of a dashboard.
The contents of your home dashboard are displayed in the main view when you open the module Dashboard.
If you have exactly one dashboard in your sidebar, it automatically becomes your home dashboard.
The home dashboard “Mia's dashboard” is also saved as a favorite.
Dashboard main view
Once you click on a dashboard from the sidebar, it will appear in the main view. The currently selected dashboard is highlighted in color in the sidebar.
A newly created dashboard is initially empty. It provides the framework for the widgets that display information which you can add and organize on your dashboard.
On an empty dashboard, you can add widgets in the center and at the top right.

Organizing widgets
The dashboard automatically helps you arrange widgets optimally after creation. However, you can also organize widgets manually:
You can change the position of a widget using drag & drop. To do this, hold down the mouse button on its header and move it to a free space.
You can change the height and width of a widget. To do this, hold the mouse button down on the corresponding edge and drag the widget to make it larger or smaller.
Dashboards are not limited at the bottom.
If you need more space or want to group certain topics, you can create additional dashboards. There is no limit to the number of dashboards you can create.
Move a widget by dragging its header. Free spaces are shown in gray.
Create & edit a dashboard
Open the Dashboard module (if it is not your start module) via the mega menu.
Create a new dashboard
Click on the "Plus" button
next to "My Dashboards" in the sidebar or on the
button to create a new dashboard. The name field "New Dashboard" appears in edit mode the sidebar under "My Dashboards".
Enter a suitable name, e.g., "Mia's Dashboard" or "System Metrics". Dashboards may have identical names.
Press Enter or click outside the name field to create the dashboard.
If it is your first dashboard, it will automatically receive an active home icon.
As soon as you create additional dashboards, they will be added under "My Dashboards." Your dashboards are sorted alphabetically.
Edit a dashboard
Each dashboard can be edited via its three-dot menu
. Depending on your permissions, you have the following options:
Rename
Dashboards may have identical names; there is no check for duplicates.
After renaming, it may be given a new position in the alphabetically sorted list of dashboards.
Duplicate
Duplicating creates a copy including all widgets.
Delete
Deleting also deletes all widgets.
If there are widgets you want to keep, save them as a preset beforehand.
Share
When you share a dashboard, the selected users or roles will also see your dashboard in their sidebar.
Assigned users will see changes to your dashboard live.
Please note
For dashboards that have been shared with you, you may have limited rights and not all of the options mentioned above will be available to you.
Share a dashboard
You can share a dashboard, including all widgets, with other users or entire roles, e.g., as a common basis for your department.
A shared dashboard is indicated by the colored "Share" button

Open the three-dot menu
next to the dashboard you want to share and click the "Share" button
.A pop-up window will open. Here you can add users (top) or entire roles (bottom).
To do this, click on the "Link" button
on the left or the three-dot menu
on the right and then on the "Add" button
.Another pop-up window will open. Select the users or roles here using the checkbox. Once you click "Add selection", you will see the added users in the overview.
In the next step, specify whether the selected users or roles should receive extended rights for your dashboard:
Edit: (allows to change the name and the widgets for all users)
Delete: (allows to delete the dashboard for all users)
Assign rights: (allows to share the dashboard with other users)
Click "Save" to share your dashboard.
All selected users or roles will now automatically see your shared dashboard in their own dashboard sidebar. They will also receive an email notification.
You can assign extended rights per user and per role.
If you want to remove users or roles later, you can do so using the checkboxes and the "Remove" button:
Please note
Shared dashboards are not copies:
Any changes you make are visible to everyone in real time.
Any changes you make to your dashboard will be visible to all users with whom you have shared it.
If you have granted advanced rights, changes that other users make to your dashboard will also apply to all users.

How many dashboards can I create?
There is no limit. You can create as many dashboards as you wish.
Will changes to a shared dashboard only be visible to me?
No, changes are visible live to everyone who has access to the dashboard.
Can I create dashboards with identical names?
Yes, names are not checked for duplicates.
How can I delete a dashboard?
You can delete dashboards via the three-dot menu. This will also remove all widgets contained therein.
