The change history shows you in the detail view of an object which metadata was changed when and by whom – e.g., the keywords for a file or the object image for a contact.
Change history in the detail view of the Files module
Please note
Rights: The Change history is disabled by default for all users and modules. The function as well as the monitored fields must be enabled by an administrator for each module and each role as needed.
List of changes
Open the detail view of an object, e.g., an image.
Click on the Change history tab in the menu bar to call up the list of all changes to this object.
The change history lists changes chronologically – the most recent changes are always at the top of the list.
If a user has made several changes on one day, they are summarized in one entry.
Which changes are displayed?
The list shows the following information for each entry:
User name (= creator of the change)
Change date and time
Field name (= changes were made in this field)
Previous entry
New entry
This information allows you to see exactly which changes were made by whom.
A dash "–" or the
icon next to a field name means that no value is stored in this field or has been deleted.
The icons
and
represent the values of a yes/no switch.
changes in three fields of an image file, each with old and new values
Which changes are taken into account?
Changes to monitored metadata fields and object images (if available for a module) are taken into account.
Changes made by all users are displayed.
Entries made by automated processes (e.g., workflows) are marked as "System process".
You can see which metadata fields are monitored for changes in the Monitored fields area.
Filter & Search
If necessary, use the filter area on the left to narrow down the list of changes to a specific time period or user.
As soon as you start filtering, you will see the first results in the main view. You can also combine multiple filters. Active filters are highlighted in color.
Show object images: For modules with object images (e.g., contacts or products), you can also show or hide the object image.
If you only want to see changes to specific metadata fields, you can show or hide the monitored fields.
Monitored fields
The change history only monitors specific metadata fields – the monitored fields. You can find a list of monitored fields on the left below the filter area.
Show and hide changes
If you want to limit the list of changes to specific metadata fields, you can hide individual fields.
To do this, hover your mouse over a field name and click on the
button to change the visibility.
In the header of the monitored fields, you have the option to hide or show all fields at once (if fields are already hidden).
click the eye button to hide/show a field in the change history
Please note
The fields that are monitored per module are configured individually and depend on your user role.
Hiding and showing is only a filter. Changes to hidden fields are still recorded.
Further information
Administrators can activate the change history for each module in the role-based module settings.
Monitoring of a certain metadata field can be activated in the module configurations of a module in the "Fields" snap-in, pop-up "Field properties".
